League of Professional Theatre Women seeks part-time administrative help. These are a part-time office management/light record/bookkeeping and a part-time administrative director.
Part Time Administrative Assistant/Bookkeeper
Weekly:
- Pay all bills/invoices
- Record all transactions and share with Bookkeeper with all items labeled as to program and expense category
- Produce weekly financial reports to monitor cash flow
- Maintain records for member dues
- Track your own time sheets so that salary/consultant payments may be allocated either to program work or administrative tasks (submitted bi-weekly to the bookkeeper)
Monthly:
- Review Quickbooks for accuracy
- Present updated budget (monthly tracked changes) to the Treasurer
- Track Members on Monthly payments
- Monitor bank accounts for accuracy
- Manage relationship with landlord (Quarterly payment schedule; Spearhead any issues pertaining to the office space)
Annually:
- With bookkeeper, review list of independent contractors, employees for accuracy (January)
- Work with Treasurer to create annual budget
As Needed:
- Collect W9/1099s for all consultants, upload to bookkeeper portal
- Send out annual dues invoices to members
- Issue Thank You letters to all donors, and ensure proper acknowledgement of gifts and grants
- 15 hours/week. Flexible schedule. WFH is acceptable for a portion of each week.
Qualifications:
- Previous experience in accounting, finance, or other related fields
- Ability to prioritize and multitask
- Strong organizational skills
- Deadline and detail-oriented
- Minimum of 2 years of experience in bookkeeping or accounting role
- Strong knowledge of technical accounting procedures and standards
- Experience with general ledger reconciliation and account analysis
- Familiarity with budgeting processes and financial reporting
- Excellent understanding of debits, credits, and account reconciliation
- Proficiency in using accounting software (QuickBooks)
- Strong attention to detail and accuracy in data entry and record keeping
- Ability to work independently as well as part of a team
On site work required only twice per week.
Non-profit experience is a plus. Theatre experience not necessary.
Salary: $21 - $23.00 per hour

Part-time Administrator/Board & Project Liaison
Manage Board Business
- Liaison with Board re: scheduling of meetings, distribution of minutes
- Organize annual Board vote in consultation with the Nominating Committee
- Filing of Board Minutes
- Manage Member Inquiries
- Handle member questions. Reply or forward emails to board members or co-chairs
- Manage all Insurance Policies
- General Liability: annual policy, may require completion of a questionnaire for renewal
- D&O (Board Officer) Policy: annual policy
- Workers Compensation
- Some venues for outside events may require a Certificate of Insurance; this can be requested from the Broker
LPTW Project Coordinator
- Function as the liaison between different Project Chairpersons and the League board.
- Will vary from event/project needs
- Attend all events as administrative support
- Make suggestions for budgeting events/activities for the coming year.
- Maintain the website (Not the “webmaster”, but someone who will train on NEON and be able to navigate calendar and simple edits when needed.)
Communications & Newsletters
- Design & Send monthly newsletters (2)
- Collect editorial and announcement for the news & events
- Send info and/or assets to Social Media Manager in a timely fashion

- Deadline and detail-oriented
20 hours/week
WFH is acceptable for a portion of each week. Must be onsite for live events.
